RRF GENERAL RULES AND REGULATIONS

 

These Regulations and Guidelines are part of each vendor and exhibitor contract

1.   Entries must be made on Official Entry Forms, which are located in this booklet. Submit all entries as indicated on forms. All

      entry forms must be submitted by dates specified in each show department. Entry forms may be photocopied when

      necessary.

2.   Entries will be accepted as outlined in each contest section in this booklet.

3.   Any person entering more than one exhibit is requested to use the same name and full mailing address on all exhibits.

4.   Entries MUST NOT be removed from the exhibit area before times listed by each department or premium money will be

      withheld.

5.   Classes with only one entry will be awarded placing at the judge’s discretion.

6.   The Rockbridge Regional Fairs, Inc. reserves the right to refuse any entry offered and to require removal from the grounds of

      any exhibit or animal which the Board of Directors shall, for any reason, deem unfit or objectionable.

7.   The exhibitor/vendor assumes all risks of damage or loss either to person or property for any cause whatsoever. It is further

      expressly understood and agreed between the exhibitor and the Rockbridge Regional Fairs, Inc. and the Virginia Horse

      Center that the said Fairs and Virginia Horse Center incur no liability or obligations to the exhibitor other than permitting the

      exhibitor to use the grounds and/or buildings for exhibits.

8.   All complaints must be presented in writing to the Rockbridge Regional Fairs, Inc. no later than (30) days after the close of

      the Fair. Complaints will be considered by the Board of Directors and their decision shall be final.

9.   Articles exhibited must be the work of the person in whose name they are entered and must have been made or completed

      within the guidelines set by each department.

10.   Premiums will be paid as soon as possible after the Fair.

11.   Premium checks must be cashed within 45 days of issue. Premium checks not picked up at the Fair will be kept in the

        Extension Office for 30 days. After September 1, 2008 they will be returned to the Fair Treasurer. Premium checks for      

        out-of-county Open Livestock Exhibitors will be mailed.

12.   Exhibit barn and area will be closed for judging on Tuesday, July 15, 2008 from 9:00 to 4:00 p.m.

13.   NOTE: Be sure to read each Department’s General Rules.

14.   Management reserves the right to refuse admission to any person(s) in the interest of the safety and welfare of all those in

        attendance. Tickets for special events will be sold at the event gate.

15.   All animals must be on a leash and under the control of a responsible person.

16.   Medical Waste: The Virginia Horse Center provides special containers for medical waste (needles, syringes and other

        medical supplies) disposal in each barn for exhibitors use. Medical waste must not be discarded in stalls, manure pits,

        garbage cans or on the grounds. Medical wastes must be placed in appropriate containers located in each barn.

17.   The official hours of the fair are 4:00 - 11:00 p.m. Tuesday, July 15, 2008 through Friday, July 18, 2008, 9:00 a.m. to

        11:00 p.m. Saturday, July 19, 2008. Vendor spaces shall be ready and available for presentation to the public during the

        hours of the Fair.

18.   Check-in hours for vendors and concessions are 8:00 a.m. to 6:00 p.m. Monday, July 14, 2008 and 6:00 a.m. to 12:00

        noon on Tuesday July 15, 2008. The Fair can re-assign any display not in place by 12:00 noon on Tuesday, July 15,

        2008.

19.   Space assignments will be made by the Fair Board according to the date on which the appropriate fee and application is

        received. Vendors and Exhibitors agree to accept the space assigned by the Fair and agreed to accept re-assignment, if

        necessary to create a more effective Fair. Such changes will not be made unless deemed absolutely necessary by the Fair. If

        Vendor and Exhibitor displays are not in place by 12:00 noon, Tuesday, July 15, 2008, the Fair has the right to re-assign  

        the space.

20.   SUB-LEASING: Vendors and Exhibitors may not permit others to use their space, or any part thereof without written

        permission from the Fair’s management.

21.   CANCELLATIONS: One-half of space rental fee will be refunded with proper notification at least fifteen (15) days prior

        to the start of the Fair. Insurance Endorsement Chargers, where applicable, are non-refundable except by approval of the

        Fair Board of Directors or due to Fair cancellation of an exhibit.

22.   DISPLAYS: Attractive, informative and attention - getting displays are encouraged. In no event shall a display interfere with

        a neighboring exhibit. The Fair Board shall be the judge of display or exhibit acceptability.

23.   SOUND LEVEL: Any device, which produces sound, must be operated so as not to be disturbing to other exhibitors.

        Management reserves the right to determine the acceptable sound level in all instances.

24.   UNAUTHORIZED ADVERTISING AND DISPLAYS: Only persons, firms or organization, currently contracted with the

        Fair for vendor space, shall be allowed to exhibit or display any products, processes, or services and/or solicit, advertise or

        distribute any materials. Infringement of this rule will result in prompt removal of the offending party from the grounds.

25.   CLOSED AREAS TO TRAFFIC: All cars, trucks and trailers will be prohibited from the show during the hours of the fair.

        NO vehicles are allowed in the interior of the barns at anytime.

26.   PARKING: Vendors will park in the general parking area. Horse and livestock exhibitors will have designated parking

        areas close to the barns as space allows, otherwise parking is available in the general parking area. Participants must display

        their parking passes in order to park in designated areas. Lost passes will NOT be replaced.

27.   EXHIBITOR CONDUCT: All exhibitors are reminded that the Fair is open to the general public and as such there will be

        many people present who are not familiar with animals and their actions. Therefore, it is important that you conduct yourself

        and your animals in the safest manner possible.

28.   SAFETY PRECAUTIONS: Smoking in the barn area is PROHIBITED.

29.   ELECTRICITY: Electricity - 110 volts, 15 amps - is available at each stall. Outside vendor space has 110 volts and 30-

        amp service, available on a limited basis. The campground has 110 volts and your choice of 20 or 30 amp service.

30.   ALL PARTICIPANTS AND VENDORS SHOULD LEAVE PETS AT HOME except those entered in the Pet Show. In

        the event this is not possible, it is mandatory that all dogs and pets be kept on a leash. Vendors are required to keep all pets

        restrained and contained with no access to the general public or neighboring vendors.

31.   Golf carts are permitted only if prior arrangements have been made with the Fair Board. If permitted, golf cart must be

        operated in a safe manor by a person with a valid drivers license. Motorcycles, four wheelers, powered and non-powered

        scooters, skateboards, inline skates, mopeds, and bicycles are not permitted on the grounds.
